To keep coaching sessions supportive, respectful, and consistent, I outline my policies here so clients and families know how I work. My goal is to create a coaching space where communication is clear and everyone feels supported from the start.
At Good as Gold Learning, we believe clarity, communication, and mutual respect are essential to a strong coaching partnership. This page outlines how I work: scheduling, billing, communication, missed sessions, and more.
My Promise: You won’t find hidden surprises here – just transparent, fair policies designed to support your growth, protect your time, and honor your commitment.
Scheduling & Sessions
-Clients may schedule sessions via my booking link or directly with me.
-In most cases, we will set recurring appointments so scheduling is consistent and simple. Clients need only notify me if a reschedule is necessary.
–Reminders: I send a reminder message on the morning of each scheduled session.
–Rescheduling: I request at least 24 hours’ notice when rescheduling. I understand that life happens, and I do my best to be flexible. However, if frequent rescheduling becomes a pattern, I may hold clients to their original time as a way of supporting accountability in organization, time management, and follow-through.
-Late arrivals: Sessions may be shortened if a client arrives late, though I use professional judgment and take circumstances into account.
–No-shows: If a client does not join the session at the scheduled start time, I remain available for the duration of the session. At 5 minutes past the start time, I will send a text reminder; if there is still no response after a couple of minutes, I will also try calling. If I do not hear back, I will leave the meeting room but stay available until the end of the scheduled session. If the client reaches out during that time, we can use whatever minutes remain (for example, joining at 1:25 for the last 5 minutes of a 30-minute session). Sessions missed without communication are considered no-shows and are billed in full.
Cancellations & Refunds
-Coaching is most effective when clients commit to the process and use their purchased hours.
-Because progress in coaching depends on consistency and commitment, refunds are uncommon. If a package does need to be concluded before all hours are used, any remaining balance will be refunded on a prorated basis, minus a $150 administrative processing fee.
-Packages are valid for one year from the date of the last session attended. If any hours remain unused 12 months after that last session date, they will be forfeited.
Payments & Billing
-Coaching services are purchased in advance in blocks of hours (e.g., 5, 10, or 20 hours).
-Payment methods accepted:
- Venmo
- Zelle
- PayPal
- QuickBooks invoice (accepts debit/credit cards, ACH bank transfer)
-Services do not begin until payment has been received in full.
Communication Outside of Scheduled Sessions
-Clients and families may contact me via email or text message.
-I typically respond within the same or next business day.
-Aside from emergencies, I do not usually text outside of traditional business hours.
-Text or email may be used for scheduling needs (such as requesting another session, rescheduling, or cancelling), as well as occasional quick check-ins — for example, asking for brief feedback, sharing good news, or requesting short-term support between sessions.
–Extended texting: If text exchanges extend to 15 minutes or more (either in a single day or accumulated across multiple days), the time may be billed in 15-minute increments. For example, if we texted for 7 minutes yesterday and 8 minutes today, that would be billed as one 15-minute session. This ensures communication time is accounted for fairly and consistently.
-Professional boundaries: I do not accept personal social media requests, and I am not a crisis support provider. Clients in crisis should contact emergency services or a mental health professional.
Confidentiality & Collaboration
-Coaching is not medical treatment and is not governed by HIPAA.
-For clients age 18 and older whose parents are covering the cost of services, I respect the client’s preference about whether parents are copied on session notes. Even if detailed notes are not shared, I provide parents with periodic general updates to ensure they remain informed about progress and key areas of focus.
-With client/family consent, I may collaborate with therapists, physicians, or school staff to support consistency across environments.
Role of the Coach
-Coaching progress depends on client participation, consistency of sessions, and how closely sessions follow the recommendations in the coaching plan.
-To make meaningful progress, consistency matters. I recommend specific session lengths and frequency in the coaching plan to support the client’s goals. If sessions are scheduled less often or for shorter durations than recommended, progress will likely take longer.
-Clients often leave sessions with action items they have chosen to work on before the next meeting. These are not “homework” but steps toward building independence and success.
-My role is to provide tools, strategies, and accountability; meaningful progress requires client buy-in and follow-through.
